CAPOA Tours Colombia CONDTIONS:

You will find below the general conditions of sale applying to the services of CAPOA Travel Colombia (Movigroup S.A.S.). However, specific conditions might apply to a particular trip and will be detailed in each quotation.

RESERVATION & PAYMENT

Quotations

The quotes issued by CAPOA are calculated according to a Euro/Peso rate set by the Bank of the Republic of Colombia. The rates issued in foreign currencies are therefore subject to fluctuations in the exchange rate of the Colombian Peso (COP). The prices indicated may be re-evaluated at the time of confirmation and partial, or total payment of the tour. Depending on the exchange rate, these prices may either increase or decrease depending on the devaluation/appreciation of the Colombian Peso (COP).

 

Payment

30% of the amount as well as the full price of the air tickets must be paid upon reservation. The remaining 70% must be paid no later than 30 days before the beginning of the tour.

The payment must be made by bank transfer to the account of the agency in Colombia. Please contact us for other options. Any international transfer fees applied by the issuer of the funds are not included in the price. These are to be borne exclusively by the client. In case of incomplete payment, the amount due will be carried over to the balance or may be required upon arrival.

 

Purchase of domestic flights

Flight prices are subject to exchange rate fluctuations, as well as to the prices issued by the airlines. Therefore, we cannot guarantee that the fare quoted will be the same at the time of booking. Please note that the air transfer rate is listed separately because booking domestic flights is an optional service.

 

Required documentation for the reservation

Once the quotation has been validated by the client, the reservation process can only be completed once the following documentation has been received:

-Proof of payment of the deposit or the total amount of the tour.

-Details of international flights (if applicable).

-Sales agreement dated and signed by the person making the payment.

-Copy of the passport or valid travel document of each participant (complete information: last name, first name, date of birth, document number, date of issue and expiration).

Any delay in sending these documents could lead to a price adjustment or even a partial or complete review of the agreed itinerary.

CAPOA CANCELLATION POLICY

Cancellation of the tour

-In case of cancellation, if notified more than 30 days before the start of the tour, CAPOA reserves the right to retain the deposit incurred, i.e. 30% of the amount of the stay.

-If the cancellation is notified within 30 days before the start of the tour, CAPOA will retain 50% of the total amount of the tour in order to compensate for any pre-booking fees incurred.

-Once the flight reservation has been made, it is no longer refundable or exchangeable. In the case of a cancellation prior to the booking of the flights, a full refund of the price of the tickets will be made.

-In case of cancellation after the beginning of the trip, no refund can be made.

 

Cancellation during the tours

CAPOA tours (Movigroup SAS) is not responsible for delays, cancellations, changes, for any reason whatsoever, of the transfers by plane, boat or by road and their possible consequences. In case of unforeseen circumstances, we will try to find an alternative solution that could lead to additional costs, depending on the case.

TOUR DESCRIPTION

Programmes’ Description:

The description of the quotes reflects the global evolution of a tour. However, the visits of each day may be rescheduled by the guide (for example, a tour in the morning can be rescheduled in the afternoon and vice versa) to avoid crowded places or harsh climatic conditions. Most of the pictures and videos shown in the quotes depict the actual sites visited, while some of them illustrate the concerned destination. The duration of the visits, transfers and hikes are given as an indication. various factors may extend or lower those durations (weather, fatigue, traffic, demonstrations etc.).

EXCHANGE RATE OF THE COLOMBIAN PESO (COP)

CAPOA is an Agency based in Bogota, Colombia. Therefore, we deal with the hotels, guides, and service providers in Colombian Peso (COP). When receiving a payment in any other currency, we are subject to exchange fees. Those fees are included in the price of the tour. However, the costs of the international bank transfers are the responsibility of the buyer. As described above, the price of a tour may differ between the down payment and the total payment of the tour due to the eventuality of a sudden devaluation or appreciation of the Colombian Peso (COP). In order to guarantee the price of a tour, we recommend making the total payment of the tour within the week following the reservation.

HOTEL AVAILABILITY & QUALITY

Hotel Selection:

Once the quote validated and the down payment received, the Agency will make a reservation request to each hotel. in the case of unavailability of the hotel(s) for the selected room category, we will offer you the choice between different alternatives of equal or better quality.
The star rating and the local standards of comfort of the hotels may differ from the ones the participant is accustomed to. We advise the participants to follow the links to the hotel’s web page provided in the quote to ensure that the establishment responds to their personal requirements. The participants will not be able to claim a refund or a hotel upgrade in case of differentiation of judgement on comfort standards.

INSURANCE

All our travelers are covered by emergency assistance in case of accident or illness. This assistance allows for basic diagnostics. This assistance service does NOT replace the mandatory hospitalization and repatriation insurance, that the client must subscribe to separately .

Our agency can guide you and facilitate, free of charge, your steps in the acquisition of an insurance policy according to your needs. However, our agency cannot be held responsible in case of litigation related to the services provided by the insurer.

SECURITY, LOSS & THEFT

CAPOA cannot be held liable for any damage, loss or theft of your personal belongings. Neither it can be held responsible for aggression occurring during the tour or during free time. In the event of aggression or loss and theft, we advise the participant to file a complaint before the competent private or public authorities.

RESPONSABILITÉ

Risks:

The quality of the road infrastructures and health facilities in Colombia depend mostly on the economic development of the regions. Therefore, access to hospitals or clinics providing good quality services can be difficult when travelling to remote areas. The participants must be aware of the risks when selecting adventurous activities and travelling to underdeveloped parts of Colombia. The clients cannot hold the Agency or its service providers liable for any sickness or injury and their consequences. During the visits and activities, we enjoin the clients to follow the instructions provided by CAPOA and its partners. Noncompliance with the rules of security and prudence, putting at risk the safety and welfare of the group, community or service providers, can result in the expulsion of the participant or the cancellation of the activity without compensation.

 

Previous Administrative Process:

The information regarding the administrative and sanitary processes provided on www.capoa-tours.com, in the quotations, and CAPOA’s social networks is for indicative purposes only. We recommend verifying the official requirements for entering Colombia, or to participate to an activity, before any purchase.

UNFORESEEN EVENTS

The Agency cannot be held responsible for any changes, cancellation or delay due to weather, road conditions or security, and the consequence of such events (loss of a boat or flight connection, late arrival etc.). In case of unforeseen events disrupting the course of the trip, the agency reserves the right to modify, adapt or cancel the visits, activity or transfers. CAPOA cannot be held responsible for the cancellations, delays or modification of itinerary operated by the airlines. Any changes resulting from unforeseen events may generate additional costs to be assumed by the client.

SANITARY REQUIREMENTS (Yellow Fever)

No vaccines are required to enter Colombia (except for travelers proceeding from Brazil, Uganda, Republic of Congo, or Angola). However, the Colombian government recommends the vaccination against yellow fever in the eventuality of travelling to certain destinations where cases have been reported. In addition, the access to various National Parks may also be subject to the presentation of proof of vaccination against yellow fever. For more information on the subject, please follow this link:

Validation and payment of a quotation constitutes acceptance of these Conditions, and the agreement of the buyer or participant(s) to be bound by them.
